The need for bulk paper document conversion and input

Businesses which process a large number of paper documents ultimately come to a realization that they will need to automate their processing.

StroyKredit-Factoring  analyzed its overhead and labour needed for the processing of their invoices and client accounts and came to the same conclusion. A financial factoring company requires paper originals for the legal reasons, and therefore was limited exactly by the demands of paper document processing.

Ivelum solution -- two-dimensional bar coding

As a result of our research of the materials in the field we determined that the optimal solution in this case could lie in 2D bar-coding of bills and invoices sent to the factoring company. Two-dimensional bar codes can carry much more information compared to the widely used linear codes (EAN-13), what makes their use for transmission of all information about a document possible.

The implemented hardware and software solution has two parts, namely:

1. A module for printing 2D bar code on the paper documents generated in 1C (a widely used accounting program). The module is compatible with 1C versions 7.7 and 8.0 and prints code according to the Aztec Code standard. The coded information identifies the supplier, receiver, totals and other vital information.
2. An automated operator workplace. The work station has a 2D bar code scanner (manufactured by HandHeld Products) and uses ivelum software for code reading and transmission of the read data to the company computer system.

The offered solution reduces labour needed for paper document processing considerably, and almost minimizes error probabilities during information input, almost eliminating the error.

Integrating of this system of document input with our solution that automated account receivables financing processing also introduced control of document accuracy and allowed the company match documents with clients and debitors, and eliminated duplicate document entries.
